Terms and Conditions of Service – Pinaari

​

These Terms and Conditions apply to all services provided by Pinaari, a UK company providing catering and food services, including wedding catering, corporate catering, private kitchen takeovers, and related offerings. By engaging our services or placing an order through our website, you agree to be bound by these Terms and Conditions.

1. Services Provided

Pinaari offers food and catering services across three main areas:

​

  • Wedding catering – including menu planning, event catering, and on-site service.

  • Corporate catering – including scheduled deliveries and event services.

  • Kitchen takeovers – including guest chef appearances, pop-ups, and collaboration events.

Specific details of each service will be set out in the relevant proposal, quotation, or order confirmation.

2. Orders and Bookings

  • All bookings and orders must be confirmed in writing, which may include email confirmation, or placed through the online ordering system. In some cases, arrangements can be made via email, but all bookings require written acceptance by Pinaari to be binding.

  • Corporate catering orders placed through the website require at least 72 hours’ notice; orders with less notice cannot be accepted.

  • A booking is considered binding only once Pinaari has provided written confirmation and, where required, payment has been received.

  • For certain events such as weddings and kitchen takeovers, catering requirements must be finalised no later than 14 days before the event.

3. Geographic Delivery Limit

  • Pinaari is based in Leeds and generally delivers and operates mainly throughout West Yorkshire but with prior agreement, other areas of the UK can be considered (may require delivery charges).

  • Delivery requests outside these areas may not be possible, and acceptance is subject to prior confirmation by Pinaari; please check availability before booking.

4. Pricing and Payment

  • All prices are set out on our website, quotation, or proposal and are subject to VAT where applicable.

  • Website corporate catering orders must be paid in full at the time of ordering.

  • For event catering:

    • A non-refundable deposit of 25% is required to secure the booking.

    • The remaining balance must be paid no later than 14 days before the event.

  • If payment is not received by the due date, Pinaari may cancel the booking without obligation to perform the service.

5. Cancellations and Refunds

  • Corporate catering website orders: cancellations with at least 24 hours’ notice will be refunded in full; cancellations with less notice cannot be refunded.

  • Event catering bookings:

    • Cancellations over 30 days before the event result in loss of deposit.

    • Cancellations 14–30 days before the event incur a charge of 50%.

    • Cancellations within 14 days incur the full fee.
       

  • Pinaari will use reasonable efforts to accommodate changes to bookings but cannot guarantee this.
     

6. Dietary Requirements and Allergies

  • Clients must inform Pinaari of all dietary requirements, allergies, and intolerances in advance.

  • While requests will be accommodated wherever possible, Pinaari cannot guarantee any product is completely free from allergens.

  • Pinaari accepts no liability for issues due to undeclared requirements or inaccurate information.
     

7. Delivery and Service

  • Pinaari will deliver within agreed timeframes whenever possible.

  • The risk of goods passes to the client upon delivery.

  • Delays arising from factors outside Pinaari’s control (including traffic, severe weather, or supplier issues) do not constitute breach of contract; notification and mitigation will be attempted.

  • Clients must ensure adequate access to venues. Additional charges may apply if restricted access causes delay.
     

8. Client Responsibilities

  • The client must provide any necessary facilities at the venue, including tables, electricity, water, and waste arrangements, where applicable.

  • The client is responsible for obtaining necessary permissions or licences for events.

  • Any damage to Pinaari’s equipment, if brought onto client premises, that occurs due to negligence by the client or guests may be charged to the client.
     

9. Liability

  • Pinaari will exercise care and skill in service delivery.

  • To the extent permitted by law, Pinaari’s liability is limited to the total paid for the relevant booking.

  • Pinaari is not responsible for indirect or consequential loss.

  • Nothing in these Terms limits liability for death or personal injury caused by negligence, or fraud.
     

10. Force Majeure

  • Pinaari is relieved from obligations where service is prevented by factors outside reasonable control, including but not limited to natural disasters, epidemics, or government restrictions.
     

11. Intellectual Property

  • Website, branding, menus, images, and promotional materials remain Pinaari intellectual property and may not be used without permission.
     

12. Privacy and Data

  • Pinaari collects and processes personal data in line with UK law. Details are available in our Privacy Policy.
     

13. Governing Law

  • Terms are governed by the laws of England and Wales, with exclusive jurisdiction to local courts.
